Privacy Policy

1. Overview

LDS Sync ("the app", "we", "us") is a free Kanban workspace for LDS Bishoprics, Stake Presidencies, and Ward Councils. This policy explains what information is collected when you use the app, how it is used, and how it is protected. We do not sell your data, serve advertisements, or share your information with third parties beyond the services necessary to operate the app.

2. Information We Collect

Google Account Information

When you sign in with Google, we receive your name, email address, and profile photo from Google. Your email address is used to identify your role within your ward's workspace (e.g., Bishop, First Counselor) as configured by your ward administrator. We do not store your Google password.

Workspace Data

All board data you create — including agenda items, callings, tasks, card descriptions, assignees, tags, and workflow history — is stored in your ward's dedicated Cloud Firestore database. This data belongs to your ward and is stored under the Firebase project controlled by your ward administrator.

Google Drive Access

The app requests the drive.file OAuth scope to read agenda documents you select from Google Drive for the "Smart Rollover" feature. We only access files you explicitly choose. We do not browse, read, or store any other files in your Google Drive.

Google Chat Access

If you enable Google Chat notifications, the app requests the chat.messages.create OAuth scope to post messages to a specific Google Chat space you configure. Messages are sent only to the space you designate. We do not read your Chat messages.

AI-Generated Content

If you use the AI document generation feature, board data is sent to the Google Gemini API to generate agenda text. This is done using an API key you supply and is governed by Google's Generative AI Terms.

3. How We Use Your Information

  • To authenticate you and determine your role within your ward's workspace
  • To store and sync your ward's board data across devices in real time
  • To generate AI-powered agendas from your board content (when you initiate the feature)
  • To send notifications about card assignments, due dates, and workflow changes
  • To display and roll over Google Docs you select as agenda sources

We do not use your information for advertising, profiling, or any purpose unrelated to operating the app for your ward.

4. Data Storage and Security

Your workspace data is stored in Google Cloud Firestore under a Firebase project. Each ward runs its own dedicated Firebase project, meaning your ward's data is isolated from other wards. Firebase projects are hosted on Google infrastructure and protected by Google's security practices.

Access to workspace data is controlled by Firestore security rules that restrict reads and writes to authenticated users whose email addresses have been granted access by the ward administrator.

We use Firebase Hosting to serve the app over HTTPS. All data in transit is encrypted using TLS.

5. Third-Party Services

The app uses the following Google services. Your use of these services is also subject to Google's privacy policies:

6. Data Retention and Deletion

Workspace data is retained as long as the ward's Firebase project exists. Ward administrators control their Firebase project and can delete data or the entire project at any time through the Firebase Console.

If you are an individual user and want your email address removed from a workspace's user list, contact your ward administrator. They can remove your access from the workspace configuration in the app's Settings.

7. Children's Privacy

LDS Sync is intended for adult church leadership. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, please contact us and we will take steps to delete it.

8. Changes to This Policy

We may update this policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of the app after changes are posted constitutes acceptance of the updated policy.
